Secure processing of personal data

Fluid Translation processes your personal data when we manage your orders and translate personal documents such as certificates, and when we contact you. We clearly describe which data we collect, why we collect it, and how your data is used, saved, and protected.

We are based in Sweden and apply GDPR in accordance with EU regulations. Fluid Translation respects the right to privacy of its clients, suppliers, and other individuals, and always strives to protect personal data in a secure way.

What personal data do we collect?

The main types of personal data we collect are data you yourself provide to us — for example, name, telephone number, email, and invoicing address — when you contact us for a quote, place an order, or subscribe to our newsletter. A translation assignment can also contain personal data, for example in an annual report or a certificate.

If you have placed an order with us, we store all documentation — including quotations, orders, invoices, contracts, banking details, and correspondence — for as long as it is relevant for business purposes and required by law. Billing documents stored in our accounting system are retained in accordance with the Swedish Annual Accounts Act.

We use a hosted mail server to store business correspondence and personal information sent by email. Your order history is saved to ensure quality in our follow-up efforts and to provide the best service for future assignments.

Translation content and consistency

The content we translate or review for you may contain personal data — for example, names in a press release, names of people interviewed for articles, or board member biographies in annual reports. We store both the source material and the finished product in a locally stored database, used to maintain consistency across future translations. The texts are saved separately for each client.

We share this database with our suppliers to ensure translation consistency. These suppliers have data processing agreements in place with us. If you send us sensitive information that you want deleted when the assignment is completed, please let us know.

Data processors

Fluid Translation may provide your personal data to a third party, such as a supplier or IT provider. We have data processing agreements with all processors under which they guarantee protection of the personal data and compliance with our security requirements.
